    Job Title:  Office Manager - Industrial Construction 

    Reports To: Project Supervisor and Project Construction Supervisor

    Key Result: To assist Project Supervision in the in office paperwork to make more of their time available to manage manpower on projects.  We want to create the best environment for completing all Hovey Electric jobs safely and as close to budgeted hours and material estimates completed for each job. 

    Strategic Responsibilities: Comfortable in a Construction environment, fast paced, lots of paperwork.  You will provide a key support role for our onsite Project Supervision.  The ability to think for yourself, contribute to more efficient processes, manage time, understand conditions impacting the successful completion of the job, effectively communicate with others, learn and ask questions to further accelerate the effectiveness of the entire crew, abide by all Company rules and policies, work safely,  and understand and beware of site conditions in order to complete projects in the estimated time established by Company Management.   

    Tasks and Specific Responsibilities:

    Project/Employee Time Management

    Update and submit employee time cards.

    Track and process time and material projects.

    Keep projects organized both electronically and by paper including the following:

    • Pay applications
    • Payments received
    • Change orders submitted
    • Change order approvals
    • Change order billing
    • Change order payment receipts

    Maintain detailed report of open quotations, billing process and project completion status.

    Organize and submit project turnover documentation including:

    • Track what has been turned over and accepted
    • Update QA/QC project folders with turnover documentation and transmittals

    Process and order materials including:

    • Learning vendors
    • Filling out and submitting purchase orders
    • Filling purchase orders electronically
    • Tracking and submission of packing slips electronically
    • Track daily time and provide Job Leaders with weekly reports per project
    • Develop project quantity tracker tools with assistance from Project Supervisor
    • Provide efficiency rate for hours used vs. hours completed
    • Provide daily variance report for expected production vs actual production
    • Maintain and track daily quantity trackers provided by Job Leaders
    • Submit reports to Project Construction Manager and Project Supervisor

    Human Resource Responsibilities

    Submit daily force report provided by job leaders to Construction Management Staff

    Facilitate New Employee Onboarding Process

    • Process records for new applicants
    • Schedule interviews, background check, drug screening, and safety orientation
    • Provide assistance to new hires on paperwork, time cards, etc.
    • Provide Job Leaders with employee evaluations weekly; distribution and record results
    • Inform Project Supervisor and Job Leader of absent employees
    • Keep records of employee attendance and performance
    • Develop and maintain database for employee performance evaluation
    • Assist Safety Director in documenting new hire training and certifications
    • Track required updates of onsite Safety updates per customer requirements
